How matching works
Each person's work window is converted to UTC, then the overlap of the two UTC windows is found. Every 30-minute slot inside that overlap that can fit your meeting length is listed, converted back into each participant's local time — the same windows repeat every weekday.
- US zones use standard offsets: ET UTC-5, CT UTC-6, MT UTC-7, PT UTC-8.
- Daylight saving: from mid-March to early November, US clocks move +1 hour (e.g. ET becomes UTC-4). Re-run the tool then or use a custom offset.
- Pick a slot that falls inside both workdays — avoid early-morning or late-evening outliers for recurring meetings.
Frequently asked questions
What is the best meeting time between ET and PT teams?
A 9 AM ET start equals 6 AM PT — too early. The classic compromise is 12–1 PM ET / 9–10 AM PT, which sits inside both workdays. Run your own hours above to confirm against your team.
Do I need to account for daylight saving twice a year?
Yes. The US switches to daylight saving on the second Sunday of March and back on the first Sunday of November. Most of Europe switches on different dates, which creates a few weeks of shifted overlap — re-check the tool then.
How do I reduce back-to-back useless meetings?
Only book overlap windows when decisions actually need both people live. Pair this tool with the meeting cost calculator to see what each recurring call is costing your team.
Can I use this for more than two participants?
Start with the most distant two people — if a window works for them, it almost always works for everyone between. For bigger groups, repeat the match against each pair and take the intersection.
